Reserving a Room or Laptop Cart

How to Reserve a Conference Room or Laptop Cart


  1. In outlook, create a new Appointment, or if you have other employees with you, create a new Meeting:
  2. Once the new Appointment or Meeting window opens, click the “Scheduling Assistant” button and then the “Add Rooms…” button. (Yes, I know that a laptop cart seems like a weird “Room”, but imagine it’s a lab room filled with computers…it’s just moveable.)
  3. This will open a dialog showing the available rooms, and you can double-click the one you want to reserve (1). This will place it in the “Rooms” field (2) and you can then click OK (3).
  4. I can now choose the date I want (1), the general time (2) and even modify it for the specific hours and minutes (3) (in case a class period starts at an odd time, like 11:32am, for instance.) If the room already has some reservations, I can hover over that reservation (4) and see who has it reserved. If I need the room that hour, I can talk to that person and bribe them to cancel their reservation (I’ve found chocolate works well in most cases.)
  5. Once it is all correct, click the Send button (5, above) and that’s all there is to it. Very shortly you should receive a confirmation back from the room in your email saying that your request was accepted.
